Duties




The role of the Australian Department of Agriculture and Water Resources is to build a more profitable, resilient and sustainable agriculture sector and support the sustainable and productive management and use of rivers and water resources. Our objectives are to:




  • build successful primary industries

  • support agricultural communities

  • expand agricultural, fisheries and forestry exports

  • sustain natural resources for longer-term productive primary industries

  • improve water use efficiency and the health of rivers, communities, environmental assets and productions systems

  • manage biosecurity and imported food risk

  • build an efficient and capable department and be a best practice regulator.

As an Executive Assistant in the department, you will work in the Executive Office and for a Deputy Secretary that works to achieve one or more of these objectives.


The Job

As an APS6 – Executive Assistant, duties include (but are not limited to):




  • Providing high-level executive and administrative support and coordination to your Deputy Secretary and across a range of divisions.

  • Diary, telephone and email monitoring and management (managing conflicts/competing deadlines).

  • Overall management of your Deputy Secretary’s office.

  • Developing and maintaining effective communication with the Minister’s and Assistant Minister’s offices, Secretary’s office, other division’s senior executive officers, departmental staff, senior government officials, external organisations and stakeholders.

  • Being the first point of contact for business activities undertaken by the Deputy Secretary, including managing senior executive briefings and various committees.

  • Quality management tasks.

  • Budget and accounts management as required.

  • Coordinating timing of Cabinet Documents for clearance, lodging and briefing.

  • Managing national and international travel arrangements.

  • Appropriately managing confidential and sensitive information and maintaining confidentiality at all times.

  • Managing, maintaining and providing support for a variety of systems and databases for recording and storing information.

  • Preparing complex correspondence, agendas, minutes and written material as required.

  • Undertaking research and project work.

  • Managing and adapting to change, determining priorities and managing the workload consistent with the demands of a high pressure, high profile office.

  • Leading and supervising the Executive Assistant pool to provide high-level executive assistance within your Deputy Secretary’s divisions including delegating tasks, staff mentoring and training.

Experience

The successful applicant will have previous experience working as a senior executive assistant in either the public or private sector.

Eligibility


This position requires a Negative Vetting Level 1 security clearance. The successful applicant will be required to obtain and maintain a clearance at this level. To be eligible for employment with the Department of Agriculture and Water Resources, an applicant must be an Australian citizen. An applicant's suitability for employment with the department will be assessed through a pre-employment screening process. This process includes a requirement for the applicant to undergo and satisfy a National Police Check, referee checks, character clearance and where relevant a pre-employment medical assessment, specified mandatory qualification(s) validation and a period of 6 months probation. Any applicant that, in the course of their work, requires unescorted access within an aviation or maritime security zone will be required to obtain and maintain an Aviation Security Identification Card (ASIC) or Maritime Security Identification Card (MSIC).
