The Opportunity
Are you highly motivated, organised, professional and experienced in providing high quality executive support? An exciting opportunity is available to work as the Executive Assistant for the Deputy Secretary of Indigenous Affairs Group, Professor Ian Anderson.
The role is fast-paced and demanding and you will play an important role in providing high-level executive support to the Deputy Secretary.
You will operate with limited supervision and be responsible for the effective management of his office including:


  • Diary management and associated meeting arrangements including coordinating briefings;

  • Managing incoming correspondence including emails, briefs, letters and appointment requests;

  • Receiving and screening of telephone calls to ensure appropriate and timely responses;

  • Managing and establishing strong stakeholder relationships both internally and externally;

  • Co-ordinating travel (both domestic and overseas,) including flights, accommodation, visas, travel allowances and reimbursements;

  • Maintaining records in accordance with departmental policies and procedures;

  • Financial management including monthly credit card reconciliations and payment of associated invoices;

  • Managing items via the Department’s Ministerial correspondence and Cabinet document tracking systems;

  • Working as part of the Executive Team that supports the Secretary and our Deputy Secretaries; and

  • Actively supporting the Department’s Executive Assistant Network and leading teams of Executive Assistants in the Group. Our Ideal Candidate

We are seeking a dynamic, professional and well-organised candidate with extensive experience assisting Senior Executives. You will have experience in, and be comfortable with, establishing strong relationships with senior stakeholders, and building wide and effective networks.
You are an adept communicator, comfortable engaging with stakeholders of all levels and are able to exercise good judgment when prioritising and managing competing work demands. You have a high level of emotional intelligence and a positive, proactive attitude. You maintain a high level of confidentiality and provide exceptional client service.
You are a multi-tasker, able to quickly adapt to new challenges and stay organised in a fast-paced environment. You have excellent attention to detail, are proactive, able to deliver under pressure and can manage your time effectively to work to tight deadlines.
You should have a good understanding of organisational and government processes and be adept at using Microsoft Office applications. Proficiency in using Expense8, ShareHub, CabNet and PDMS is also desirable.

To be eligible for this position you must be an Australian Citizen at the closing date of application.
The occupant must be able to obtain and maintain a Baseline level security clearance (or higher if required), or hold a current security clearance of an appropriate level.
