JOB DESCRIPTIONS

Personnel can be provided for each category with the following experience: Level I = 0 to 2 years experience; Level II = 2 to 4 years experience; Level III = 4 to 6 years experience; Level IV = 6+ years experience. Level III and IV positions may have supervisory/management experience. Descriptions of these labor categories are listed below.


SIN 736 1 - ADMINISTRATIVE SUPPORT AND CLERICAL OCCUPATIONS


Accounting Clerk

Performs any combination of the following: calculating, posting, and verifying duties to obtain financial data for use in maintaining accounting records. Compiles and sorts documents, such as invoices and checks, and substantiating business transactions. Verifies and posts details of business transactions, such as funds received and disbursed, and totals accounts using calculator or computer. Computes and records charges, refunds, cost of lost or damaged goods, freight charges, rentals, and similar items. May type vouchers, invoices, checks, account statements, reports, and other record using typewriter or computer.

 

Administrative Assistant

Compiles and maintains records of business transactions and office activities of establishment, performing variety of the following or similar clerical duties and using knowledge of system or procedures. Copies data and compiles records and reports. Tabulates and posts data in record books. Records orders for merchandise or service. Gives information to and interviews customers, claimants, employees, and sales personnel. Prepares receipts, bills, invoices, statements, and checks. Prepares stock inventory. Adjusts complaints. Operates office machines such as typewriter, adding, calculating, and duplicating machines. Opens and routes incoming mail, answers correspondence, and prepares outgoing mail. May take dictation. May greet and assist visitors. May keep books. May operate computer terminal to input and retrieve data.

 

Data Entry Operator

Enters and verifies a variety of data in appropriate formats. Tracks and verifies quality of data entry from all sources. Resolves problems regarding the data.

 

Document Preparation Clerk

Compiles and types detail billing documents. Types information on manifest. Computes totals of document items using adding machine. Compares figures and totals on documents with statement of accounts submitted by accounting department to verify accuracy of documents. Resolves discrepancies on accounting records or manifest. May prepare manifest using billing machine. May be designated by type of document prepared as Manifest Clerk.

 

Duplicating Machine Operator

Operates copier/duplicating machine to reproduce data. Loads paper in feed tray, add toner, and makes minor adjustments to copier parts. May keep record of number of copies made.

 

General Clerk

Performs any combination of the following and similar clerical duties requiring limited knowledge of systems or procedures. Writes, types, or enters information into computer using keyboard to prepare correspondence, bills, statements, receipts, checks, or other documents by copying information from one record to another. Proofreads records or forms. Counts, weigh, or measures material. Sorts and files records. Addresses envelopes or packages by hand or with typewriter or addressograph machine. Stuffs envelopes by hand or with envelope stuffing machine. Answers telephone, conveys messages, and runs errands. Stamps, sorts, and distributes mail. Stamps or numbers forms by hand or machine. Photocopies documents using photocopier.


Medical Records Clerk
Organizes and evaluates patient medical records. Reviews medical records for accuracy and completeness. Responsible for filing and retrieving medical records. Requires a high school diploma or its equivalent and 0-2 years of related experience. Has knowledge of commonly-used concepts, practices, and procedures within a particular field. Relies on instructions and pre-established guidelines to perform the functions of the job. Works under immediate supervision. Typically reports to a supervisor or manager.

 

Personnel Assistant (Employment)

Performs general personnel/clerical tasks in such areas as benefits, personnel services, service awards, tuition reimbursement, employee relations, and salary/wage administration, EEO, recruiting, and training. Collects data and prepares related personnel statistics and reports.

 

Secretary (Clerical, Medical, Executive, Legal)

Performs moderately complex to difficult secretarial and clerical duties. Examples of work performed may include composing routine correspondence, preparing routine reports, scheduling meetings or appointments, arranging travel, screening and directing incoming calls, providing information, maintaining files, or transcribing dictation. Prepares documents using word processor or spreadsheet software; formats, proofs, and edits for errors. May exercise judgment and initiative in routine matters. 

Supply Technician

This position performs limited aspects of technical supply management work (e.g., inventory management, storage management, cataloging, and property utilization) related to depot, local, or other supply activities. Work usually is segregated by commodity area or function, and controlled in terms of difficulty, complexity, or responsibility. Assignments usually relate to stable or standardized segments of technical supply management operations; or to functions or subjects that are narrow in scope or limited in difficulty. The work generally involves individual case problems or supply actions. This work may require consideration of program requirements together with specific variations in or from standardized guidelines.


 

Switchboard Operator/Receptionist

Receives callers at establishment, determines nature of business, and directs callers to destination. Obtains caller s name and arranges for appointment with person called upon. Directs caller to destination and records name, time of call, nature of business, and person called upon. May type memos, correspondence, reports and other documents. May make future appointments and answer inquiries. May perform variety of clerical and other duties pertinent to type of establishment. May collect and distribute mail and messages.

 

Word Processing Specialist

Performs a variety of typing, transcription, text editing, and related clerical functions. Retrieves stored documents upon request for revision, insertion of variable information, and/or play out. Maintains a log of daily production.

 

 SIN 736 2 - AUTOMATIC DATA PROCESSING OCCUPATIONS



Computer Operator

Monitors and controls a computer by operating the central control console or on-line terminals, continuously observes the operation on peripheral equipment: determines the point of equipment or program, rearranges job sequence as necessary, and maintains operating records. Operates a mainframe/midrange/mini computer and handle a wide range of tasks. Operates computers using established programs and procedures. Competent in all phases of computer operations and requires only general direction.

  

Computer Programmer

Works closely with users to identify operating procedures and program objectives. Defines software require ments and standards for design and development. Consults with management and customers regarding strate gies, plans, and designs. Uses software development technologies to build, test, and maintain product modules, components, and subsystems.

 

Computer Systems Analyst

Analyzes, develops, and reviews computer systems. Conducts feasibility studies and determines requirements by analyzing the user s needs. Develops system requirements and program specifications. Identifies resources required for each task. Prepares required system documentation. Interfaces with client personnel at all organizational levels. Applies developments, learned through research in field of expertise, to the client environment. Converts functional specifications to technical specifications. Works without supervision.

 

SIN 736 5 - TECHNICAL AND PROFESSIONAL OCCUPATIONS


Accountant I
Prepares balance sheets, profit and loss statements, and other financial reports. Responsibilities also include analyzing trends, costs, revenues, financial commitments, and obligations incurred to predict future revenues and expenses. Reports organization's finances to management, and offers suggestions about resource utilization, tax strategies, and assumptions underlying budget forecasts. May require a bachelor's degree in area of specialty and 0-2 years of experience in the field or in a related area. Has knowledge of commonly-used concepts, practices, and procedures within a particular field. Relies on instructions and pre-established guidelines to perform the functions of the job. Works under immediate supervision. Primary job functions do not typically require exercising independent judgment. Typically reports to a supervisor or manager.

Contract Specialist


Management level Professional who is taking care of all the contracts in an organization to ensure that they are complying with government rules and regulations and company policies. They are generally serving as business consultants and professional advisers for program managers on all contracting matters. Responsible for drafting, analyzing and negotiating of the contracts in an organization. For this it is necessary for them that they should have good knowledge in accounting, finance, law, contracts, industrial management, economics, quantitative methods, and marketing. Responsible to maintain accurate contract records and to assist, help and facilitate interdepartmental communications related to assigned fields. They should be able enough to make revision of the contract terms and conditions and should ensure that they are complying with the company policies and the government regulations. Contract specialists are required to be well educated people with strong communication skill both verbally and in written and should have good computer skill. They should have good knowledge and should be familiar with contract language, terminologies and the copy right principles and computer systems concerned with contracts.


Paralegal/Legal Assistant

Researches law, investigates facts, and prepares documents to assist Lawyer. Researches and analyzes law sources such as statutes, recorded judicial decisions, legal articles, treaties, constitutions, and legal codes to prepare legal documents such as briefs, pleadings, appeals, initial and amended articles of incorporation, buy/sell agreements, closing papers and binders, deeds, and trust instruments for review, approval, and use by attorney. Investigates facts and law of case to determine causes of action and to prepare case accordingly. Prepares affidavits of documents and maintains document file. May act as arbitrator and liaison between disputing parties. May act as law librarian, keeping and monitoring legal volumes and ensuring legal volumes are up-to-date. May search patent files to ascertain originality of patent application.


Technical Writer I
Writes a variety of technical articles, reports, brochures, and/or manuals for documentation for a wide range of uses. May be responsible for coordinating the display of graphics and the production of the document. May require a bachelor's degree in a related area and 0-2 years of experience in the field or in a related area. Has knowledge of commonly-used concepts, practices, and procedures within a particular field. Relies on instructions and pre-established guidelines to perform the functions of the job. Primary job functions do not typically require exercising independent judgment. Works under immediate supervision; typically reports to a supervisor or manager.
