  1. Review areas of responsibility - Discuss:

  • GT’s Construction Manager’s role – general administration of contract

  • Authority to amend work  

  • Design Professional’s role – review RFIs, application for payment,

  • Submittal flow – shop drawings, Schedules, samples, substitutions

  1. Review schedule - Discuss: Contractor to have preliminary Schedule prepared for meeting

  • completion date  

  • completion time  

  • specific milestones – Contractor to have Schedule of Values for meeting

  • work hours – Saturday/Sunday shutdowns

  • quiet time  

  • notice to proceed  

  • Equipment/material ,delivery - (GT furnished equipment?)




  1. Review submittal procedures – Discuss,

  • Submittal log - required? format for log

  • Long lead items  

  • Submittals requiring special review (transformers, fire protection, etc.) -

  1. Change orders – Discuss,

  • Authority to change work

  • RFI- request for information

  • RFP-request for proposal

  • Proposal format

  • Approval and modification issuance

  1. Safety – Discuss,

  • Responsibility for safety is solely the Contractor’s

  • Access barriers

  • Digging permits/underground utilities-location

  • Existing environmental conditions

  • OSHA jurisdiction

  • Fire Alarm System shutdowns are to be coordinated w/ GT CM

  • Fire Alarm Watch – GC to provide FA manual monitoring while system is shut down.

  • Burn Permits

  • Fire Marshall Certificate of Occupancy

  • No guns on campus

  1. Site Access - Discuss

  • Lay-down and storage area

  • Trash – dumpster vs. small dump truck

  • Erosion control plan

  • Need and lay-down area for construction trailer

  • Keys to specified facilities

  • Passes or DJ's

  • Vehicle parking permits

  • Bathroom facilities

  • Utility access (gas, electric, water usage and metering)

  • Signage – pedestrian routing, construction zone, hard hat area

  • Identify project specific considerations

  1. Notifications - Identify proper individuals with authority to notify of :

  • Utility interruptions and system shutdowns – 2 weeks notice

  • Exterior work requires a utilities locate - GT & outside utilities

  • Work times

  • Parking disruptions

  • Pedestrian access/routing disruptions

  • Noise levels - academic considerations

  • Identify project specific considerations




  1. Disposal and Salvage  

  • Identify any Georgia Tech property to remain or to be salvaged

  • Contractor is responsible for disposal of refuse and debris in compliance with Federal, State, local requirements.

  • Coordinate with Surplus to have furniture items removed

  1. Payment Procedures  

  • Monthly payments

  • Retainage - 10% standard, out-of-compliance work, behind schedule

  • Process time

  • Letter of Condemnation

  • Final Invoice and Payment

  • final inspection complete

  • punch list complete

  • all O&M manuals submitted

  • as-builts submitted

  1. Correspondence  

  • E-mail addresses, preferred form of correspondence and communication

  • Fax numbers and procedures

  • Telephone numbers (direct lines, cell numbers, home #'s, emergency contact #'s)

  • Daily Reports – required? Not required?

  1. Existing Conditions -

  • Contractor to perform jobsite cleanup on a daily basis, especially in occupied areas.

  • Contractor to provide protection for all existing materials, surfaces, equipment, etc. to remain throughout construction period.

  • Take pictures of existing areas, sidewalks, curbs, etc. for exterior work to document existing conditions.
