OUR OPPORTUNITIES
The Attorney-General’s Department is seeking APS Level 5 Executive Assistants to provide high level administrative support to an SES Band 2, First Assistant Secretary. APS Level 5 Executive Assistants are expected to manage the office of the First Assistant Secretary with limited direction and to support more junior Executive Assistants of the Division, including providing

on-the-job coaching and mentoring.


This process is being conducted to create a merit pool of suitable applicants for use across the department when an Executive Assistant role becomes available.
The role will be responsible for:


  • managing the office of the First Assistant Secretary, which may include:

o management and co-ordination of the First Assistant Secretary’s diary, including scheduling, organising venues, making travel arrangements, preparing briefs, and escorting guests

o management of correspondence, including monitoring of in/out trays, monitoring emails and responding when necessary, collation and follow-up of information and tracking of high volume activity to ensure deadlines are met



o telephone management, including screening calls and liaising with stakeholders


  • providing administrative support to the Division, including travel approvals and bookings




  • coordinating workflow management within Division, including coordinating Division’s input to regular briefing requests, tracking taskings from the Division Head within the Division and coordinating clearances




  • assisting with financial management, such as credit card reconciliations and invoice payments







  • managing records in accordance with approved policies and procedures




  • managing Ministerial correspondence for the Division and acting as Ministerial Co-ordination Officer




  • proof-reading and editing documents for the First Assistant Secretary, as required




  • building and sustaining relationships with internal and external stakeholders to support their interactions with the Division




  • being actively involved in the Executive Assistant Network (EAN) and EAN Committee




  • representing the Division by attending and liaising with the AGD Co-ordinators Network




  • offering support, coaching and mentoring to APS Level 3 and 4 Executive Assistants within the Division




  • acting as first point-of-contact for clients and the public. OUR SUCCESSFUL APPLICANTS

Eligibility


  • Applicants must be Australian citizens to be eligible for employment at the Attorney-General’s Department.




  • The preferred applicant will be required to successfully undergo a police record check and be able to obtain and maintain a security clearance at a specified clearance level. The preferred applicant must be willing to disclose all relevant and required information.

In line with the recent media announcement, the Government will undertake the most significant reform of Australia’s national intelligence and domestic security arrangements in more than 40 years. The reforms will restructure and strengthen Australia’s intelligence community, establish a Home Affairs portfolio and enhance the Attorney-General’s oversight of Australia’s intelligence, security and law enforcement agencies. The Attorney-General’s Department (AGD) will be affected by these reforms over the coming 12 months.
AGD will continue to recruit through centralised recruitment processes, such as this one. Any changes, including the use of the merit pool once created, will be communicated via email.
The merit pool created from this process will be used to fill vacancies within AGD and will be made available to the newly established agency within the Home Affairs portfolio.
Non-ongoing opportunity will be offered for a specified term
Opportunities will be offered on an ongoing or non-ongoing basis depending on operational requirements.

Non-ongoing opportunities will be offered for a specified term of varying periods up to 18 months, with the possibility of extension. The maximum initial engagement period is 18 months which can possibly be extended to 3 years as per the Public Service Regulations 1999, Sub-regulation 3.5(3).requirements.
